Privacy policy

This policy explains what personal information AIM Digital collects when you use this website or get in touch with us, why we collect it, and the choices you have.

Last updated: 26 October 2026

1. Who we are

AIM Digital (“we”, “us”, “our”) is a web design and SEO studio at 434-436 Liverpool Road, London N7 8NL. We are the data controller for the personal information collected through this website.

If you have any questions about this policy or how we handle your information, email us at info@aimedia.co.uk or call 07785 564 976.

2. What information we collect

Information you give us

When you fill in our contact form, we collect the details you choose to share: your name, email address, phone number, business name, current website, the service you are interested in and your message. The form also records the page you were on before the contact page, the first page you visited and the website that sent you to us (for example a search engine), so we know how you found us. We also keep the details you give us when you email or call us, or when you become a client.

Information collected automatically

When you visit the website, our hosting provider automatically records basic technical information, such as your IP address, browser type, device and the pages you visit. This is used to keep the website running securely. See the cookies section below for more detail.

We do not knowingly collect information from children, and we do not ask for special category data (such as health information) through this website.

3. How we use your information and our lawful basis

Under UK data protection law we must have a lawful basis for using your personal information. We use it to:

  • Reply to your enquiry and prepare a quote. This is in our legitimate interests, or to take steps at your request before entering into a contract.
  • Deliver the services you have asked for. This is necessary to perform our contract with you.
  • Keep business and financial records. This is necessary to meet our legal obligations, for example for tax.
  • Keep the website secure and working well. This is in our legitimate interests.

We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time. We never sell your personal information.

4. Who we share your information with

We only share your information where we need to, with:

  • Webflow, which hosts this website and processes contact form submissions.
  • Our email and business software providers, which we use to receive and reply to enquiries and manage client work.
  • Google, which provides the maps embedded on some pages.
  • Professional advisers, such as our accountants and lawyers, where needed.
  • Authorities, where we are required to by law.

These providers may only use your information to provide their services to us, and must keep it secure.

When we build or look after a website for a client, the personal information collected through that website belongs to the client, who is its data controller. We only handle it on their instructions, in line with UK GDPR and, for regulated clients, FCA requirements, and we give up our access to it when we hand the website over.

If you message us on WhatsApp, your phone number and messages are handled by WhatsApp (part of Meta) under its own privacy policy. We use them only to reply to you and to handle your enquiry.

5. International transfers

Some of our service providers, including Webflow and Google, are based in or store data in the United States. Where your information is transferred outside the UK, we make sure it is protected, for example through the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement or Addendum.

6. Cookies

Cookies are small files stored on your device when you visit a website. We use only the cookies needed for this website to work and stay secure.

Some pages include an embedded Google map. When the map loads, Google may set its own cookies and collect information about your visit, as described in Google's privacy policy.

Our website also records simple events, such as when a form is sent or the WhatsApp button is tapped, so we can see which pages bring in enquiries. These events do not use cookies. If we add analytics or other non-essential cookies in future, we will ask for your consent first and update this policy. You can also block or delete cookies in your browser settings.

7. How long we keep your information

We keep personal information only for as long as we need it:

  • Enquiries sent through our contact form are stored by Webflow, which hosts this website, until they are deleted. We delete an enquiry whenever you ask, so email us if you would like yours removed.
  • Client records are kept for up to 6 years after our work ends, to meet tax and legal requirements.

After that, we securely delete or anonymise it.

8. Keeping your information secure

This website uses HTTPS encryption, and we limit access to personal information to the people who need it to do their job. No system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to us using your information based on our legitimate interests
  • ask us to transfer your information to another organisation
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email info@aimedia.co.uk. There is no charge, and we will respond within one month.

10. Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.

This website may link to other websites. We are not responsible for their privacy practices, so please read their policies when you visit them.
